DFO stands for Designated Firearms Officer.

A DFO is the SAPS officer at a police station responsible for handling firearm-related applications under the Firearms Control Act.

No. GunCerts helps you prepare your SAPS application form and supporting documents. Once your documents are generated, you print them and submit the application in person at your local SAPS station.

Different SAPS stations and Designated Firearms Officers (DFOs) sometimes require slightly different supporting documents. GunCerts includes commonly requested documents to help you prepare a complete application, but your local station may ask for additional items. If in doubt, check with your local DFO before submitting.

Depends... Some DFOs require a motivation letter, while others may accept wording such as “Same as before, nothing has changed.”

GunCerts allows you to either:

  • Include your own motivation letter, or
  • Use standard wording generally accepted.

If your DFO has specific instructions, you can adjust this before finalising your application.

Yes. GunCerts has an intuitive supporting statement wizard to simplify the process of creating supporting statements. Because requirements vary between DFOs, GunCerts allows you to add, withhold, or provide your own supporting statements.

Your information is stored locally on your device. GunCerts is designed to work offline and does not store your personal information on external servers. This means your data remains under your control on your own device.

Because your data is encrypted and stored on your device, losing your phone may mean you lose the information stored in the app. You may want to keep copies of your important documents (such as IDs, licences, and photos) in your own backups such as cloud storage or personal archives.

We will add the option to back up your data to a cloud backup service at a later stage.

No. GunCerts does not use accounts or cloud logins. Instead, the app automatically locks after a short period of inactivity and requires your passcode to unlock it again. This keeps your information secure while still allowing the app to work completely offline.

This field appears on the SAPS 518(a) Annexure A form. If the information is not available, you can leave it blank or complete it using the details available on the firearm or manufacturer documentation.

Some older firearm licence barcodes do not contain the structured data needed for automatic scanning. When that happens, GunCerts will not be able to extract the firearm details from the barcode, and you will need to capture the firearm information manually instead.

Yes. Proof of ID, proof of address, and safe photos should be treated as part of the required supporting set for firearm renewal preparation. Take them with you when you submit the renewal.

Sometimes. Training records, endorsements, invitations, landowner letters, association proof, or activity records are commonly requested by some DFOs, especially for section 15 and section 16 renewals. It is a good idea to check with your local DFO before submission so you can prepare the right supporting evidence and avoid a wasted trip.

Often, yes. Two character testimonials are commonly listed in competency renewal checklists and are still often requested in practice. Because stations do not all work identically, it is sensible to prepare them in advance instead of waiting to be asked.

Yes. Proof of address, passport-size photos, and copies of training or proficiency records are commonly requested as supporting documents, even where the local checklist is not always applied consistently. Taking them with you reduces the chance of delays.

Not currently. GunCerts focuses on helping you prepare your application documents. Once submitted, licence processing and status updates are handled by SAPS.

We will add the option to track your application as we grow.

No. GunCerts may add station-specific requirement checklists based on user feedback and community contributions in the future.

GunCerts will initially support the following SAPS application forms for individuals:

  • 517(g): Competency certificate renewal (Possession of Firearms only).
  • 518(a): Firearm licence renewal (Section 13, 15 & 16 only).

We will add additional SAPS application forms based on feedback from you.

No. GunCerts is an independent tool that helps you prepare your SAPS application form and supporting documents bundle before submitting to your local SAPS station.

Core features work offline. You will need to be online to process payment. You will also need to be online if you store your photos or other documents in the cloud.
